Plan International Nepal invites application from interested and eligible candidates for the following position:

Sponsorship Program Manager

 

Purpose: The position holder will be responsible for managing and coordinating overall Sponsorship business and related systems/ processes at Field Office level. Coordinate with program team and ensure the Program Sponsorship Commitments are met throughout the years.

Term and Location: Fixed term employment for 3 years based in Jumla Field Office

Required Qualifications & Experiences:

• Master’s Degree in relevant field

• At least 4 years’ of relevant work experience in managing sponsorship/ building relations and wider perspective of sponsorship management/ communication in the development organization

• Proven experience in coordination, liaison and networking, managing teams, finance and other critical management domains
• INGO work experience preferred

Key Responsibilities:

• Complete Field Office level green sheet with proper caseload management every year
• Manage and supervise the smooth flow of sponsorship communication in order to comply with quality, quantity and set timeline
• Monitor and ensure all the documents are received at Field Office one month in advance to facilitate smooth processing of the documents and enhancing quality
• Manage timely availability of sponsorship documents, especially Sponsored Child Introduction and Sponsored Child Update in ChildData
• Response National Office (NO) Inquiries with quality information
• Send Sponsored Child death notification report promptly upon receipt of such information to the concerned NOs and make sure that the cancellation is processed within a month, with the replacement as appropriate
• Facilitate and effectively coordinate visits of sponsors and NO guests.
• Make use of Business Intelligence online system to monitor the progress and achievement on Sponsorship commitments
• Sponsorship KPIs are met as per standards
• Manage day to day operation of Sponsorship department professionally.
• Implement Country Office (CO )level decisions, priorities, and updates related to Sponsorship business at field level
• Ensure all the Field Office teams including volunteers and partners are aware and educated on Sponsorship commitments and standards KPIs are met
• Ensure the alignment of all sponsorship interventions to child-centered community development approach (CCCDA) and Country Strategy Plan (CSP)
• Ensure active participation of children and community members in producing annual/periodic documents like Program Area Update and Program Area Overview to bring in children’s perspective
• Establish, implement and monitor accountability quality standards for achievement of sponsorship goals
• Facilitate the process of phase in /phase over as per organizational strategy and procedures as appropriate
• Develop strategies to mainstream child rights and child participation in sponsorship communication activities to align to global campaigns like Universal Birth Registration, Learn without Fear and Because I am A Girl
• Participate and facilitate in annual planning, budgeting, implementing, monitoring and liquidating of Sponsorship activities
• Strengthen the capacity of staff, volunteers, community groups and youth organizations in managing sponsorship
• Organize training/refresher and orientation to all the concern at least twice in a year
• Support, monitor, and guide to the partners implementing Community managed sponsorship
• Support in partner selection, need identification, strategy development, and activity planning for the Field Office area as required


Encoder

Purpose: The position holder will be responsible to encode and translate sponsorship communication products prepared by field and received from National Offices ensuring the quality of documents. They will also be responsible to translate communication products from sponsors to the sponsored children and vice-versa.

Term and Location: Fixed term employment for 1 year based in Hetauda Field Office and Jumla Field Office

Required Qualifications & Experiences:

• At least 10+2 pass, Bachelors’ Degree preferred
• At least 1 year of relevant experience
• Computer skills especially email, internet database, photoshop, excel, word etc
• English and Nepali language competency both verbal and written, local dialect a plus

Key Responsibilities:

• Enter and update Sponsored Child (SC) profile, photos and data into Plan’s Software within the given timeframe
• Process photographs of new Sponsored Child Information in Plan’s photo processing software
• Review SC profile mismatch and missing information and report to Sponsorship Communication Coordinator (SCC) by next working day
• Print Sponsored Child Information (SCI)/Sponsored Child Updates (SCU) as per the guidelines of Sponsorship Manual or as per the instruction provided by the Sponsorship Department
• Scan first and last photos of SC while translating Graduation Memorandum of the Sponsored Child (GMSC)
• Scan email communication (ECO) response letters and farewell letters and farewell received from SC
• Enter, print and upload Cancellation memorandum of the Sponsored Child (CMSC) and GMSC in the Child Data, without any error on the same day the document is received
• Encode other necessary data of survey, census and research study finding based on Field office need
• Periodic reporting to supervisor on quality aspect of encoding based on the experience while encoding SCI/SCU
• Translate SC letters (response/acknowledgement) from Nepali to English


Driver

Purpose: The position holder will be responsible for providing efficient and safe driving services to staff and visitors and ensure effective maintenance of vehicles.

Term and Location: Fixed term employment for 1 year based in Country Office, Lalitpur.

Required Qualifications & Experiences:

• School leaving certificate (SLC) completed
• Valid driving license
• At least 3 years of driving experience
• INGO work experience preferred

Key Responsibilities:

• Ensure safe and smooth driving service to staff and visitors
• Ensure proper maintenance of vehicles for smooth operation
• Maintain and update the vehicle log book recording the details of the journey
• Provide support in other administrative tasks like delivering and collecting documents as assigned
• Inform supervisor for renewal of blue book, vehicle insurance policy, tax payment and pollution check of the vehicle
