Job Description (Roles and Responsibilities)




Main purpose of job:/br>

Main purpose of job is to manage Reception services for the British Embassy and provide various Corporate Services role back up including Ambassador’s Personnel Assistant Backup.

Roles and responsibilities

Reception Duties

  • Attending to the incoming & outgoing calls. This role includes the active screening of calls prior to passing them to concerned officers.
  • Support to all Embassy staff on all telephone enquiries, directory assistance and other related issues.
  • Despatching faxes. This role also includes checking that faxes are complete before passing on to officers (if incomplete, a request should be made for re- transmission). Checking the name and address on all mail received and putting it to concerned officer’s dip and every morning sorting out the news paper.
  • To welcome visitors to the reception area, establish their identity & provide them assistance.
  • Support Bag items delivery to concerned department.




Back up Functions

In absence of HMA PA, CSA is expected to be back up for PA HMA.

  • To organise diary schedule & travel programme in consultation with other sections/external contacts, liaising as necessary with security, management section and political section.
  • Draft and send correspondence (letters/emails) as & when required.




In absence of Corporate Service Assistant – Finance

  • Private Billing to staff
  • PRISM Housekeeping
  • Requisitioner for CS department/Distribution sets.
  • Process all payment
  • Other adhoc duties as tasked by Corporate Services Officer.



Essential qualifications and experience

  • Previously managed reception/Customer services department in reputed organisation (at least two years).
  • Good computer skills including office packages.

Desirable qualifications and experience

  • Secretarial course
  • Driving 4 wheelers

For other than British Embassy candidates, The total annual remuneration package for this position is NPR 475,956 which includes Provident Fund contribution.

Working Patterns:

Core Office hours is 8.15- 1700 hours Mon- Thu & 8.15-13.15 hours on Friday

CSA will be tasked working hours considering the 27 hrs duty a week.
