The International Foundation for Electoral Systems (IFES) is an international NGO that supports the building of democratic societies around the world. Since 2006, IFES Nepal has worked with the Election Commission of Nepal (ECN) and local civil society partners to enhance citizen participation and strengthen civil society, governance and transparency.

IFES Nepal is seeking a Subgrants and Finance Assistant to support program implementation, review subgrant financial reports and support IFES Nepal financial management. This position will be under the supervision of the Sr. Finance Officer and will be full-time.

Position: Subgrants and Finance Assistant

Roles and Responsibilities: 

• Help review sub-grant financial reports on a monthly basis to ensure that are up to date, comprehensive, and complete;
• Work with sub-grantee to ensure financial reports are properly documented;
• Liaise with sub-grantee on financial matters to ensure that the organization has maintained minimum requirements to implement the grant activities, including payment requests;
• Maintain copies of sub-grant financial reports and other relevant records in electronic format and hard copy;
• Assist to develop and maintain sub-grant tracking system that provides information for the comparison of budget vs. actual expenditure;
• Report regularly to Sr. Finance Officer and as required to the Country Director;
• Coordinate sub-grant and finance related printing and copying;
• Assist in compilation of monthly financial reports to IFES headquarters;
• Assist in tracking and controlling IFES accounts;
• Provide financial assistance for project workshops and consultant trips, including liaising with and paying vendors, ordering and purchasing supplies, handling reimbursements or travel functions;
• Other relevant duties as assigned by the Sr. Finance Officer.

Qualifications:

• High school degree required, Bachelor’s degree in finance or accounting preferred;
• Minimum 2 years of finance, accounting or related experience;
• Previous experience working with sub-grants is preferred;
• Knowledge of accounting software, experience in QuickBook (QB) an added advantage;
• Aware of prevailing VAT/TAX rules of GON;
• Experience with an international organization is preferred;
• Good organizational skills and attention to detail;
• Record maintenance and/or database management skills;
• Excellent time management and communications skills;
• Ability to manage multiple tasks and deadlines;
• Fluency in English and Nepali is required;
• Basic computer skills (Microsoft Office Programs, Excel, Internet) are required;
• Ability to work independently in support of a team.


This position is opened for Nepali nationals only and is based in Kathmandu with potential for some travel outside Kathmandu.
