POSITION TITLE:  Receptionist/Admin Assistant (S3/S4)

UNIT:Agriculture

REPORTS TO:Officer Manager

BACKGROUND: 

The Knowledge-based Integrated Sustainable Agriculture in Nepal (KISAN) II Project is a USAID funded five-year second phase of the USAID Feed the Future (FTF) initiative in Nepal. The aim of KISAN II is to increase resilience, inclusiveness, and sustainability of income growth in the FTF zone of influence.  The US$ 32.70 million project is implemented by Winrock International in collaboration with five other Nepali and US based organizations: Center for Environmental and Agricultural Policy, Research, Extension and Development (CEAPRED), Development Project Service Center (DEPROSC), Digital Green, Siddhartha Inc, and Overseas Strategic Consulting (OSC).

KISAN II aims to work with private sector firms, input suppliers, Millers, and private sector change agents etc.; whoever are playing a catalyst role in agriculture productivity, competitive market systems, a stronger enabling environment to agriculture sector business growth and literacy skills. KISAN II will focus on 20 districts in the West, Mid-West and Far-West regions and four earthquake-affected districts in the Central region (Feed the Future Zone(s) of Influence 1 and II respectively).

POSITION DESCRIPTION:

The KISAN II Receptionist will oversee day-to-day tasks in the front office including internal and external communication, logistics support for staff and guests, and filing for the KISAN II project office in Kathmandu.

ESSENTIAL RESPONSIBILITIES:

  • Answer all incoming telephone calls and direct to respective staff or department.  Take clear messages and deliver them in a timely manner.
  • Make telephone calls as requested from staff.
  • Welcome and deal with visitors.
  • Assign reference numbers to outgoing mail, and coordinate with couriers (eg. DHL), postal officers, and messengers to send and track mail. Receive, log-in, and distribute incoming mail.
  • Maintain the general filing system and file all correspondence.
  • Ensure and record daily staff attendance, monthly timesheet and leave status.
  • Make photocopies as needed.
  • Book and issue domestic airlines tickets & make copies for the records and provide tickets to travelers.

  • Typing documents in English to Nepali and vice versa.
  • Maintain the staff travel status in the board.
  • Maintain generator log book.
  • Other duties as per assigned.

QUALIFICATIONS AND REQURIEMENTS:

Education: Intermediate or 10+2 in Management, Business Administration, or relevant field.

Experience:  The ideal candidate will have the following experience:

  • At least 2 years of experience in operation front desk management
  • Prior working in developing sector is strongly preferred; experience on donor-funded projects (specifically USAID) will be added value.
  • Basic software skills in MS Excel, Word and Outlook.
  • Telephone handling experience
  • Strong communication skills, both oral and written good

Other: High level of English and of Nepali is required. Positive attitude and interpersonal skill.
