Background

The UNDP Electoral Support Project has been providing advice, technical assistance and operational support to electoral processes in Nepal since 2008, including throughout the 2013 and 2017 elections. The project was extended to the end of 2019, primarily to consolidate its achievements, ensure sustainability, provide advice for ongoing electoral activities and to continue strengthening the capacity of the Election Commission of Nepal (ECN) and other stakeholders. The project is headed by an international Chief Technical Advisor and Project Manager (CTA) and includes a number of national specialists who cover specific areas of electoral support as well as assistant and support staff.

The Operation Assistant provides administrative and logistic support to the organization of project activities, notably events, trainings and workshops in Kathmandu and across Nepal. The Operations Assistant reports to the ESP Administrative and Finance Officer.

Duties and Responsibilities

1. Provide operational and logistic support for project activities in Kathmandu as well as in the field;

• Support in organizing workshops, seminars, trainings including arrangement for venue, logistics, transportation and documentation of events;
• Provide support to maintain records and minutes of all project related meetings/workshops;
2. Ensure all project related materials are properly documented and easily accessible;
3. Maintain a filing system for ESP in Kathmandu;
4. Management of payments as per UNDP policies and procedures;
5. Assists the programme unit in fulfillment and execution of established policies and procedures on administrative issues;
6.Coordinate communication with other professional and administrative staff both within and outside the project;
7. Undertake day-to-day administrative tasks for the smooth running of project activities;
8. Perform other related duties a s required.

Required Skills and Experience

Education:

• Completion of Bachelor’s degree from a recognized university.

Experience:

• A minimum of three years of experience in administration or logistic support roles in similar kind of projects / field.
• Demonstrated ability to work independently is required.
• Knowledge of UNDP operational policies and procedures is desirable.
• Previous work experience with UNDP or other United Nations agencies is desirable.

Language Requirements:

• Good command of written and spoken English and Nepali languages are required.

Other:

• Good knowledge of office computer application such as Word, Excel and Power point is required.
