Role Overview

We are seeking a highly organised, discreet, and proactive Executive Assistant to provide

comprehensive support to the Managing Director. This is a dual-function role that combines traditional executive assistance with limited administrative support for our Kathmandu office operations. The role demands flexibility, trust, excellent time-management skills, and the ability to work across different time zones.

Key Responsibilities

Executive & Administrative Support

Manage the Managing Director's calendar, appointments, and travel arrangements

Act as the primary point of contact between the Managing Director and internal/external

stakeholders

Prepare and coordinate correspondence, presentations, and reports as required

Assist with inbox management, prioritising emails and ensuring timely follow-ups

Coordinate meetings, develop agendas, and track action items through to completion

Handle all confidential information with the highest level of discretion and professionalism

Administrative Duties — Kathmandu Office (2

00 PM – 4:00 PM Daily)

Given the time zone difference between Australia and Nepal, the final two hours of each working day (2:00 PM – 4:00 PM Kathmandu time) will be dedicated to supporting the Award Global Admin Team based in Kathmandu. Duties include:

Providing administrative support to the Kathmandu office operations

Assisting with documentation, data entry, and coordination tasks as directed

Liaising with the local admin team to ensure smooth day-to-day operations

Supporting cross-office communication and workflow management

Skills & Experience

Proven experience as a Personal Assistant, Executive Assistant, or similar administrative role

Minimum 1–3 years of relevant experience (adjustable based on the candidate's level)

Strong organisational and time-management skills with the ability to manage multiple priorities

High level of professionalism, discretion, and reliability at all times

Excellent written and verbal communication skills in English

Demonstrated ability to work independently and proactively anticipate needs

Flexible and adaptable approach to a dynamic, fast-paced work environment

Proficiency with office management systems, scheduling tools, and databases

Proven experience as an Executive Assistant, Personal Assistant, Administrative Assistant, Office Assistant, or similar role

Minimum 1–3 years of relevant administrative experience

Experience with office management systems and procedures

Familiarity with scheduling tools and databases is advantageous

Strong computer literacy, including proficiency in Microsoft Office Suite
