Job Description

The Care Home Administration Officer is responsible for managing daily administrative operations, maintaining resident records, coordinating admissions and discharges, handling inquiries, supporting billing and documentation processes, and ensuring smooth communication between residents, families, staff, hospitals, and other stakeholders.

Key Responsibilities

Manage resident admissions, registrations, transfers, and discharge documentation.

Maintain accurate resident records and administrative files.

Handle phone calls, emails, and visitor inquiries professionally.

Coordinate appointments, referrals, and communication with hospitals and healthcare providers.

Prepare invoices, receipts, and support billing and payment collection processes.

Maintain staff attendance records, leave records, and administrative reports.

Assist in preparing monthly operational and occupancy reports.

Ensure compliance with organizational policies and confidentiality requirements.

Support marketing activities, client follow-ups, and customer service initiatives.

Manage office supplies and coordinate administrative procurement needs.

Job Specification

Bachelor’s degree in Health Care Management or a related field.

Strong organizational, communication, and interpersonal skills.

Proficiency in Microsoft Office applications.

Excellent record-keeping and documentation abilities.

Strong customer service orientation with a professional and compassionate approach.

Effective time management, multitasking, and coordination skills.

Strong problem-solving abilities and attention to detail.

Previous experience in healthcare, hospitals, or care homes will be an added advantage.
