Job Summary
The Administrative Officer is responsible for ensuring the efficient operation of the office by providing administrative support, coordinating office activities, maintaining records, and assisting management with daily operations. The role requires strong organizational, communication, and problem-solving skills to support business objectives.
Key Responsibilities
Monitor production and operational areas (Rolling Mill, SMS, CCM, TMT, Dispatch); coordinate vehicle movement and resolve operational issues
Ensure smooth shift handover between day and night teams; track mock drills, overtime, gate passes, and training equally across shifts
Implement night-shift security instructions, risk assessment, and emergency-handling protocols
Draft official correspondence and manage communication with internal/external stakeholders and corporate office
Prepare daily/weekly/monthly admin reports; submit weekly cluster-wise presentation
Manage manpower records: deployment, onboarding, resignation, ID cards, biometric registration, SSF forms
Coordinate outsourced manpower out-time calculation and gate pass policy with supplier companies
Track ISO training status, skill assessments, and performance evaluations
Monitor company vehicles, machinery, and equipment; maintain History Cards for usage/maintenance
Conduct Root Cause Analysis (RCA) for vehicle/equipment breakdowns
Follow up on purchase requisitions, contractor agreements, and factory agreement validity
Prepare preventive/corrective maintenance and fuel/AC consumption budgets
Track canteen usage and high-cost items; coordinate meal planning and canteen policy reviews
Manage officer quarters, employee accommodation, hotel bookings, and guest arrangements
Support audits, inspections, and compliance verification; maintain audit-ready documentation
Facilitate implementation of company policies and administrative systems across clusters
Carry out additional tasks as assigned; maintain daily checklist and handle emergencies
