Job Summary:
The Front Desk Executive serves as the first point of contact for the company, ensuring smooth front-office operations while supporting administrative, financial, and e-commerce catalog management tasks. This role requires strong organizational skills, attention to detail, and the ability to multitask in a dynamic B2B environment.
Key Responsibilities:
Front Office Management
- Handle incoming phone calls, route them to appropriate departments, and maintain call logs.
- Greet, assist, and manage visitors, clients, and vendors in a professional manner.
- Maintain reception area cleanliness and ensure a welcoming environment.
Administrative Support
- Perform day-to-day administrative tasks including documentation, filing, and record keeping.
- Coordinate with internal teams for operational and administrative requirements.
- Assist in office supply management and vendor coordination.
Petty Cash Management
- Maintain and manage petty cash transactions.
- Record daily expenses accurately and prepare periodic reports.
- Ensure proper documentation and approval for all disbursements.
Fixed Assets & Insurance Management
- Maintain and regularly update the Fixed Assets Register.
- Coordinate insurance coverage for all fixed assets and ensure timely renewals.
- Maintain insurance records and assist in claims processing if required.
E-commerce Data Entry & Catalogue Management
- Perform data entry tasks for product listings on the B2B e-commerce platform.
- Prepare and update product catalogues, including descriptions, specifications, and pricing.
- Ensure accuracy and consistency of product data across platforms.
Social Media Management (Official Accounts)
- Handle and manage official social media platforms (e.g., LinkedIn, Facebook, Instagram, TikTok, etc).
- Post regular updates related to products, offers, and company activities.
- Respond to basic inquiries/messages and redirect leads to the sales team.
- Coordinate with management for content approval and campaign execution.
- Maintain consistency in brand communication and professionalism across platforms.
Job Specification
Required Qualifications & Skills:
- Bachelor’s degree in Business Administration, Management, or a related field.
- 1–3 years of experience in front desk, administration, operations, or e-commerce is a plus.
- Proficiency in MS Office (Excel, Word) and basic accounting practices.
- Familiarity with e-commerce platforms and product data management.
- Strong communication and interpersonal skills.
- High level of accuracy and attention to detail.
- Ability to handle multiple tasks efficiently in a fast-paced environment.
