Job Description
World Vision International Nepal’s one-year Traineeship Program, running from January to December, provides fresh Nepali graduates with practical work experience, professional development, mentoring, and opportunities to contribute to WVI Nepal’s work while gaining valuable skills and experience for their future careers.
The incumbent is expected to gain a command over WVI Nepal procurement policies and fundamentals of procurement, supply and administration. The incumbent will also have opportunity to understand daily applicability in WVI Nepal’s administration and programs through on-the-job-training. The incumbent will also support procurement functions to carry out daily procurement business within the unit and oversee documentation of sourcing files as per audit standards.
MAJOR RESPONSIBILITIES
Managing Purchasing Requisition, Executing and Solicitation of Sourcing Methods and Payment/Invoicing
Support in procurement of items as per assigned category which might include direct procurement of office supplies, stationaries, utilities etc.
Take lead in payment process to suppliers based on procurement undertaken.
Assist in market assessment and direct purchases.
Support in pre-bidding process, collecting bid, maintaining register etc.
Maintain procurement records and ensure compliance with organizational procurement procedures.
Handle low value / low risk sourcing events in guidance of Sr. Buyers.
Manage Office Supplies & inventory management
Assist in maintaining the register for office supplies and other inventories, as required
Support warehouse and store operations, including receiving, issuing, and verifying inventory items.
Support asset registration, allocation and tracking
Data filing and management
Assist to record, establish and maintain hard copy key documents and upload soft copies in automated system as per audit standards.
Update and review data and vendor information in automation system periodically.
Support in pre-qualification of vendors and update the prequalified status in automation system.
Administration, Fleet & Logistics
Support in organizing internal meetings, draft meeting minutes.
Provide support to administration unit as required.
Assist in fleet and logistics operations, including vehicle request processing, trip documentation, fuel monitoring, maintenance tracking, and insurance monitoring
Other Responsibilities
Demonstrate an understanding of and commitment to World Vision’s Core Values in the approach to work and relationships
Support in assignments/projects/functions assigned by the supervisor
KNOWLEDGE/QUALIFICATIONS FOR THE ROLE
Required Education, training, license, registration and certification
Bachelor’s Degree in Management or other relevant fields
Preferred Knowledge and Qualifications
Competent in using Microsoft Office including Word, Excel, PowerPoint
Basic computer knowledge and handling skills
Good communication skills (both written and spoken)
Good interpersonal skills
