Job Description

The purpose of the Admin and Finance trainee is to assist Admin and Finance Coordinator in overall financial, procurement, and supply chain administration. The trainee aims to learn and develop practical skills in financial, procurement, and supply chain processes and procedures in WVI Nepal’s context by working together with assigned teams/individuals as per assigned tasks and assisting to achieve WVI Nepal’s goal. The trainee is also expected to support other functions of Urban Program Office as per the need.

MAJOR RESPONSIBILITIES

Up to date record keeping and reconciliation

Prepare journal vouchers for PNGO settlement and hold them in SunSystem as guided by Supervisor.

Review logbooks and fuel records and prepare reports to support operational efficiency and expense tracking.

Assist supervisor to conduct risk-based financial monitoring of financial and procurement documents of partner NGOs to ensure compliance with internal controls, and standard financial procedures.

Assets supervisor to register reported issues of PNGOs in the system, verify the reasons and supporting evidence provided by partner NGOs, and facilitated the closure of issues after proper validation and documentation.

Verify the accuracy of scanned vouchers from Partner NGOs by cross-checking them with system-generated records, ensuring voucher numbers, dates, and supporting documents are consistent.

Assist in preparing monthly financial reports.

Filing and documentation- SCM

Support in collecting authorized payment documents from Supply Chain and perform arithmetic and approval checking as per the WVIN standard procurement, financial and accounting procedures and forward to Finance Coordinator for payment.

Support in the systematic filing system of key documents (in hard copy and soft copy) as per FFM manual. Assist in preparing and uploading/e-filing of procurement/sourcing documents on SCAI system and assist procurements process.

Suppliers’ management

Assist to compile suppliers’ information including supplier’s names, addresses, and bank details.

Support in updating suppliers’ information in the system.

Asset safeguarding and up to-date information

Support in day-to-day asset management function: issue and receipt to different departments including PNGOs, recordkeeping and documentation, codifying, temporary movement update in asset register, preparation loss and damage reports, perioding physical verification etc.

Effective and efficient supply chain management

Support in procurement administration: Market Assessment and Supplier Pre-Qualification, drafting the RFQ/RFP documents for different GWS, collect and prepare bid analysis report including preparation of procurement committee submission documents and meeting minutes, preparation of master data management(contract and supplier register), communication with supplier and internal customer, sourcing/procurement compliance and documentation, procurement and supply chain reporting and analyzing etc.

Timely delivery of program requirement

Support Urban MEAL for technical program baseline evaluation (IPF and SOP).

Support in producing learning documents and evidence.

Data verification and validation Support Urban MEAL as required and needed.

KNOWLEDGE/QUALIFICATIONS FOR THE ROLE

Required Education, training, license, registration and certification

At least a bachelor’s degree in management, finance or related field.

Preferred Knowledge and Qualifications

Knowledge

Basic knowledge of accounting theory and financial analysis required.

Competent in the use of Microsoft Office computer programs including Word, Excel, PowerPoint
