Volunteers Initiative Nepal (ViN) is a non-religious, non-political, not-for-profit, nongovernmental organisation established in 2005. We believe in a holistic, sustainable model of community development that empowers marginalised communities. Our work rests on four pillars of development: Education, Health & Environment, Economy, and Basic Infrastructure. Why This Role Exists
ViN is growing across Kathmandu, Nuwakot and Okhaldhunga. We are looking for one capable, field-ready professional who can hold the programs together at both ends: guiding strategy, partnerships, reporting and funding from our Kathmandu office, while spending regular time in Okhaldhunga to lead field implementation, support the branch office and stay close to the communities we serve. This role blends program management (planning, funding, reporting, leadership) with district program facilitation (hands-on field delivery, community engagement, branch operations). We welcome applicants whose background is stronger in either area, as long as they are ready to grow into both.
Job Summary
The Program Coordinator leads the planning, implementation, monitoring and evaluation of all ViN programs in Kathmandu and Okhaldhunga. The post-holder supervises program staff and volunteers, manages the Okhaldhunga branch operations, builds partnerships with local stakeholders, secures funding, and ensures every project reflects ViN's mission, values and holistic approach.
Key Responsibilities
1. Program Planning, Management & Development
Lead the planning, implementation, monitoring and evaluation of activities across all six empowerment programs in Kathmandu and Okhaldhunga.
Ensure all projects under the four development pillars align with ViN's mission, strategic plan and donor requirements.
Prepare annual and monthly action plans, goals and milestones for each program, and ensure timely delivery.
Monitor progress, analyse data and adjust plans to maximise impact.
Research community needs and opportunities, and develop innovative project proposals.
Manage project development, including feasibility studies, budgeting and risk assessments.
Design long-term plans and implementation strategies for projects.
2. Field Implementation in Okhaldhunga
Travel regularly to Okhaldhunga to lead programs on the ground and oversee the branch office.
Women's Empowerment: Organise workshops, skill development trainings and economic initiatives through women's cooperatives; support existing cooperatives to run according to government and ViN protocols.
Children's Development: Oversee Early Childhood Development Centers (ECDCs), children's clubs, child sponsorship and teacher development, ensuring quality education and nurturing environments.
Youth Empowerment: Design and facilitate programs promoting education, skill development, leadership and volunteering; ensure youth clubs are legally set up, trained and running smoothly.
Public Health & Medical Care: Manage public health campaigns, medical camps and hygiene awareness, and deploy volunteers; design and implement integrated community health projects.
Environment Conservation: Implement permaculture, climate and water research, environmental education and waste-reduction projects for sustainable resource management.
Disaster Risk Reduction: Conduct risk assessments, train communities in disaster preparedness and coordinate response efforts.
3. ECD Centers & Community Learning Centre (CLC)
Observe ECD teachers, monitor center operations and give constructive feedback.
Facilitate meetings with teachers, management committees and parents.
Ensure effective use of the ECD curriculum and resources, and keep classrooms clean and child-friendly.
Coordinate CLC activities, including the library, children's learning centre and computer learning centre; promote and make full use of the CLC and keep it neat, clean and organised.
Ensure the visibility and smooth operation of the NaraTika CLC.
4. Team Leadership & Volunteer Management
Lead, mentor and motivate a diverse team of staff and volunteers.
Arrange training and professional development; conduct regular performance reviews and keep records of staff performance.
Oversee recruitment, onboarding, training and well-being of local and international volunteers (including ESC volunteers), working closely with the Volunteer Manager.
Define meaningful volunteer roles that fit project needs, and plan volunteer involvement in projects.
Develop urgent plans for volunteers and visitors when needed.
Provide regular follow-up and support to project staff, and foster a collaborative, inclusive, results-oriented culture.
5. Partnerships & Stakeholder Engagement
Build and maintain strong relationships with local communities, government agencies, community-based organisations, universities, NGOs/INGOs, donors and other partners.
Identify and develop new partnership opportunities that support project goals.
Communicate program objectives, achievements and challenges to stakeholders and the wider community.
Facilitate regular meetings to build community ownership and sustainable project implementation.
Represent ViN at meetings, conferences and networking events.
6. Fundraising & Financial Management
Develop fundraising strategies; write grant applications and proposals to secure funding at local and wider levels.
Develop and manage project and district budgets together with the finance team, ensuring transparency and efficient use of funds.
Approve project budgets and expenditures within delegated authority, manage project financial transactions and verify receipts.
Conduct procurement according to ViN protocols.
Always apply ViN's No Cost, Low Cost philosophy.
7. Monitoring, Evaluation & Reporting
Develop and implement monitoring tools and M&E systems for staff and projects.
Submit daily, weekly, monthly, quarterly and annual updates and reports to ViN leadership, donors and other stakeholders.
Provide regular project updates to the President.
Document all activities and archive them on ViN's common drive; maintain project records and documentation.
Ensure compliance with legal and regulatory requirements.
8. Visibility & Communications
Ensure ViN's vision, mission and visibility among beneficiaries, stakeholders and partners.
Mobilise the team to produce photos, videos, testimonials, success stories, interviews, articles and newsletters.
Write weekly news for website promotion.
9. Branch & Office Administration
Manage the Okhaldhunga branch office, including staff performance, volunteer logistics and day-to-day operations.
Manage office administration in Kathmandu as required.
Contribute to project manuals and templates; facilitate training and meetings; follow organisational procedures.
Decision-Making Authority
Plan, design, implement and monitor projects.
Coordinate with stakeholders, NGOs and INGOs.
Supervise the team and provide feedback; approve staff leave.
Approve project budgets and expenditures and manage project financial transactions, within ViN policy.
Manage office and branch administration.
Expected Results
All six programs implemented and coordinated in Kathmandu and Okhaldhunga (and in other working sites such as Nuwakot, as assigned).
The NaraTika CLC visible and running smoothly.
ViN-facilitated ECDs operating smoothly, with regular teacher observation and feedback.
Women's cooperatives operating according to government and ViN protocols, with new cooperatives established where planned (e.g. Kavresthali).
Youth clubs legally set up, trained and active.
Water tank construction for health, sanitation and sustainable food production implemented smoothly.
Timely, accurate monthly and annual plans and reports delivered to ViN and funding organisations.
Additional local funding secured through grants and proposals.
High volunteer satisfaction and effective volunteer integration in projects.
Qualifications & Experience
Essential
Bachelor's degree (Master's preferred) in Development Studies, Social Work, Rural Development, Education, Public Health, Environment, Management or a related field.
At least 3 years of experience in program or project management, preferably in an NGO/INGO or community development setting.
Experience managing teams and/or volunteers.
Experience in proposal writing, budgeting and donor/stakeholder reporting.
Strong understanding of community-based development in Nepal's rural contexts.
Excellent written and spoken English and Nepali; proficiency in MS Office/Google Workspace.
Willingness to travel frequently to Okhaldhunga and stay for extended field periods.
Desirable
Previous experience in Okhaldhunga or a similar hill district.
Experience with ECD, women's cooperatives, youth clubs, public health or DRR programs.
Experience working with international volunteers.
Knowledge of the local language, cultural context and local government structure.
Photography, video or content creation skills.

Working Conditions
Base: Kathmandu head office, with frequent field travel to Okhaldhunga (travel and accommodation arranged per ViN policy).
Schedule: Full-time. Field visits may involve weekends or extended stays depending on program needs.
Salary
NPR 45,000 – 50,000 per month, based on experience and qualifications.
