Job Description
BINYAN Studios is seeking a versatile and technically skilled Business Systems Technology Specialist to serve as the global owner for our two most critical platforms: Oracle NetSuite (ERP) and Autodesk Shotgrid (Production Management).This is a unique, “bridge” role designed for a professional who deeply understands business systems (Finance, HR, Sales) but also possesses the technical aptitude to interface with production processes. You will be the owner and subject matter expert (SME) who ensures that our business system (NetSuite) and our production system (Shotgrid) are perfectly aligned, automated, and optimized. Note on Shotgrid: While we expect deep expertise in NetSuite/ERP, we recognize that Shotgrid is a specialized tool. We are looking for someone with a strong systems mindset who can learn Shotgrid via a structured handover from our current internal leads.Key Responsibilities1. NetSuite ERP Ownership & Support• Finance & Ops Alignment: Act as the bridge between Finance, Project Management and IT, optimizing the ERP to support core processes such as project reporting, quoting automation, and departmental nuances.• Reporting & BI: Be the go to resource for troubleshooting and developed of saved searches, financial reports, and executive dashboards ensuring the BI team is able provide actionable insights into business performance and project profitability.• Stakeholder alignment: Be the conduit between various stakeholders to ensure ongoing development and evolution of the ERP is aligned with business needs and priorities.• System Maintenance: Oversee system health, manage release previews, and ensure the smooth rollout of updates and new features.• User Support & Training: Act as the central point of contact for troubleshooting, identifying incorrect user behavior (e.g., incorrect timelogs), and updating user manuals.2. Shotgrid Product Management & Support• Workflow Optimization: Work with Department Heads to identify and resolve workflow issues, ensuring the system manages the process rather than relying on manual intervention.• Continuous Improvement (Stage 2): Lead the rollout of “Phase 2” features, including deeper pipeline integrations, client portal deployment, and automated task generation triggered by NetSuite quotes.• User Support & Training: Act as the central point of contact for troubleshooting, identifying incorrect user behavior (e.g., incorrect timelogs), and updating user manuals.• Data Integrity: Collaborate with the BI and Software teams to ensure data integrity across the “bridge” between Shotgrid and other systems (NetSuite/WFM).3. Strategic Systems Integration• Cross-System Synchronization: Monitor and maintain the sync between NetSuite and Shotgrid, specifically focusing on project status updates, resource utilization, and financial reconciliation.• Automation Roadmap: Work with the internal tech team and external consultants to define the scope and testing for new automations.Required Skills & Experience• 3+ years of experience as a NetSuite Administrator or Analyst is essential.• Proven systems-thinking mindset: Ability to understand complex data relationships and workflow dependencies.• Understanding of core business processes (Finance, Accounts, Project Management, Production Workflows).• Understanding of core technologies (ERP & Project/Workflow Management tools)• Excellent written and verbal English communication skills; ability to explain technical fixes to creative teams and artists.• Basic Python scripting or experience with APIs for system integration.• Proactive “problem-solver” attitude—you look for why a system broke, not just how to patch it.Desirable (or to be learned via Handover)• Previous experience in a creative studio environment (VFX, Animation, or Arch-Viz).• Exposure to Shotgrid (formerly Shotgun Software) or similar production tracking tools (Jira, Trello).• Experience with HRIS/Payroll systems implementation.Why Join BINYAN?• Central Influence: You will own the technology backbone of a world-class creative agency with a global footprint (Melbourne, Sydney, NYC, London).• Innovation Culture: Work in an environment that actively utilizes AI and high-end tech to push the boundaries of architectural storytelling.• Professional Growth: Transition into a high-level “Product Owner” role, managing a sophisticated global software ecosystem.
