Position: Program Officer

Job Description

Program Summary:

The current program aims to improve the plastic waste management practices in Nepal while creating environmental, economic and social impact through the establishment of a self-sustainable recycling enterprise. The program works towards the recovery of waste PET (Polyethylene Terephthalate) bottles i.e., plastic bottles used for food/ beverage packaging, through recollection and recycling mechanism with all the major stakeholders brought together.

Purpose of the Role:

To lead the project towards the achievement of its strategic objectives through planning, budgeting, monitoring and reporting on the project whilst acting as the bridge between upper management and the teams tasked with the actual execution of the project, and ensuring that the project outputs are delivered on the approved schedule.

Key Duties and Responsibilities:

• Project Planning: Preparation of feasible work plans that achieve the goals of the project and align with the pre-designed project schedule.
• Time and Resource Allocation: Define, schedule and estimate task duration and resource availability to develop and maintain a realistic project schedule.
• Assembling and Leading Project Team: Carry out the role of a leader in the team and mobilize them for the implementation of the project activities.
• Budgeting: Estimate accurate budgets for the project activities as per the significance, urgency and deliverable of the outputs.
• Project Quality Assurance: Deliver the projects results as approved by the management and as required by the stakeholders.
• Risk Management: Analyze the risks that can come across the project duration and be prepared tackle issues that might pose a threat to the successful delivery of the project.
• Monitoring Progress: Constantly measure and compare project output against the approved plan.
• Reporting and Documentation: Ensure proper reporting of each and every activity conducted under the project.
• Any other duties as assigned by the management.

Job Specification

Education Level : Masters in Development Studies, Social Entrepreneurship, or a related discipline

Experience Required : More than or equals to 1 year

Professional Skills Required:

• Good command of English language both spoken and written.

To assist in the execution of the program implementation by performing day-to-day program activities, maintaining good relationship with key vendors and reporting of the overall program development activities under the supervision of Program Officer and in coordination with the Program Associate.

• Vendor/ Key Account Management: Work closely with vendors and suppliers to make purchasing decisions and building relationships with key vendors while maintaining records.
• Program Implementation Support: Engagement and coordination with Program Associate for assisting in the implementation of program activities under the supervision of Program Officer.
• Supervisory Responsibilities: Supervise/guide the Support Staffs
• Relationships Management: Maintain professional and cordial relationship with key stakeholders inside and outside the office premises or as directed by the supervisor.
• Supporting Activities: Inventory Management, Procurement and Payment Handling, Office Upkeep and Operations, Handling Calls and Attending Visitors, etc.
• Any other activities as assigned by supervisor.

Job Specification

Education Level : Bachelors in Business Administration, Social Entrepreneurship or a related field

Experience Required : More than or equals to 1 year

Internship Description

Purpose of the Internship:

To learn and work under the supervision of Administration Officer and display administrative skills in providing professional assistance to organize, administer, monitor and provide support for organizational programs.

Key Learnings/ Responsibilities:

• General Administrative Support: Learn to provide general administrative support including data entry, mailing, and preparation of reports, analyzing data and identifying solutions for administrative problems.
• Project Assistance and Support: Learn and assist in the implementation of ongoing organizational projects while maintaining necessary documents.
• Handling Calls and Entertain Visitors: Learn to attend calls and provide visitors a round of the office explaining them about the organization and how it functions.
• Inventory Management: Learn to ensure proper record of inventory including fixed assets and report it regularly to F&A Officer for following standard procedures and forms.
• Payments Handling: Learn to facilitate in the payment of suppliers associated with administrative activities.
• System Management: Learn to handle any issues related to communication and computers system on timely basis so as to avoid obstruction in the normal operation of office.
• Office Upkeep and Operations: Learn to regulate office supplies and ensure smooth functioning of office while maintaining proper hygiene standards and good look and feel of the office.
