Nepal CMU
The Nepal program has a considerable increase in IDA lending with a portfolio value at about US$3.0+ billion (including both IDA credits, Regional IDA credits, and trust funds). Nepal is implementing the Country Partnership Framework (CPF) for the five years starting FY2019 with priority in three focus areas: (1) Public institutions and policies, (2) Growth and employment, and (3) Inclusion and resilience. The World Bank country program provides financial support and technical advisory services across a broad range of sectors, with focus in infrastructure, energy, human development services, climate, and disaster risk management. In addition, the priority of the program is also to support implementation of federalism. The CPF is being updated through a Performance and Learning Review, which will cover the response to the COVID-19 pandemic and the support to the Government’s Green, Resilient, and Inclusive (GRID) agenda. World Bank assistance is channeled through government agencies for agreed development priorities. Technical Teams from the World Bank are drawn from staff in the Kathmandu Office and from around the world.
The Nepal Country Management Unit (CMU) in the World Bank Kathmandu Office provides Administrative and Client Support primarily to the task teams based in Kathmandu but also to visiting missions. Given the scope of the country program and magnitude of the administrative and operational tasks, support is required from a Team Assistant (Grade GB).
The Word Bank Office Kathmandu, Nepal is seeking a dynamic candidate to join the Team as a Team Assistant. The Team Assistant is an integral part of the Nepal Country Office Administrative and Client Support (ACS) Team. S/He will provide Administrative support to the Administrative Team under the Country Management Unit (CMU). The job implies frequent interaction with other institutional units, government officials, external organizations etc.
Roles and Responsibilities:
The Team Assistant will carry out the full range of office support work in the Administrative Unit under the CMU.
The incumbent will perform the following tasks:
1.Prepare administrative letters and documents:
- Prepare draft letters, notes, and correspondences for day-to-day general administrative functions.
- Draft letters and Note Verbales to the Ministry of Foreign Affairs and other government agencies regarding Visa, Tax Exemptions, Vehicle renewal, VIP visitors and high-level visiting missions as per flight schedule.
- Meet and greet VIPs/guests at the airport and make arrangement of fast and hassle-free arrival, departure, immigration, luggage collection etc.
- Assist VIPs/guests to obtain boarding pass and “Visa on Arrival” smoothly without waiting at the queue.
- Helping International staff with local bank accounting opening, their shipment exemption, driving license transfer
- Helping some retirees to submit Medical Claim in insurance site
- Prepare letter for VAT refund and enter VAT refund data into IRD site
- Assist in processing admin related invoices
2.Facilitate Diplomatic Pouch and International Express Courier Service:
- Prepare monthly Diplomatic Pouch Bill summary according to its weight and charge code for payment clearance and make sure that the bills are forwarded to Accounts (Resource Management Unit).
- Managing Diplomatic pouch and any other courier and liaising with the courier company. Data input in sender and receiver site of vendor (DHL) web portal, take print out of system generated shipping documents and attach with the shipment.
3.Support Office Vehicles Management:
- When required to manage transport services of assigning vehicle and drivers to staff/teams as per the demand or booking cars on their behalf.
- Conduct office vehicles repair and maintenance in a timely manner.
- Keep and maintain up to date vehicles records i.e. registration, renewal, maintenance/fitness, insurance etc.
- Process office vehicles monthly wifi bills.
4.Other Admin work and back-up support other Administrative Assistant(s):
- Managing Petty Cash
- Help in office upkeep
- Cover Administrative Assistant(s) during their absence especially issuance of stationery and office supplies.
- Procurement of goods and services for office use.
- Any other administrative services as required by the office.
- Receive goods and services delivered by suppliers or vendors.
- Assist in organizing corporate events.
- Any other duties assigned by the Management.
Selection Criteria
- Minimum of High school diploma; Bachelor’s degree is preferred.
- 2-3 year’s working experience in administration; logistics; business management service, or other relevant fields.
- Highly organized and time-conscious in performing assigned tasks.
- Effective working in a team, with excellent inter-personal skills.
- Ability to work across boundaries and proactive in tackle work challenges.
- Strong English and Nepali language skills (verbal and written), including ability to draft a variety of correspondence and edit materials using proper grammar, punctuation.
- Proficiency in key business tools such as Excel for managing quantitative and logistic tasks, when necessary.
