Project Description
USAID Nepal’s Sajhedari STF project seeks a dynamic Nepali professional to fill the position of Administrative Assistant. Sajhedari – STF is a six-year technical assistance project that aims to support the Government of Nepal (GoN) in the transition from a unitary state to a three-tiered federal system. This support will be focused on achievement of the following objectives:
Objective 1: The GoN creates sound policies and legislation that empower, finance and regulate provincial and municipal governments;
Objective 2: Provincial and municipal governments are more responsive, accountable, transparent and effective; and
Objective 3: Citizens and civil society organizations in the target municipalities are more involved in local decision-making and oversight.
Job Summary
Administrative Assistant performs a variety of clerical and administrative support duties with minimum supervision. The Administrative Assistant will report to the Finance & Administration Officer and be based in Dhangadi Office.
Key Responsibilities
- Manage the reception desk, welcome visitors and answer their enquiries, or guide them to the appropriate STF staff members
- Assist in making arrangements / reservations for STF visitors and maintain a visitor schedule
- Coordinate hospitality functions as needed
- Answer/screen and direct phone calls to STF staff members
- Receive and register all incoming mails and forward / circulate mails to users
- Maintain polite and professional communications via phone, e-mail, and mail
- Perform typing, filing and handling of correspondence in accordant to defined procurement, inventory, personnel and logistics policies and procedures
- Ensure filing is up-to-date and maintain complete and accurate records
- Maintain the inventory system according to USAID procedures
- Make travel arrangements, such as flight bookings, car rentals, and hotel and restaurant reservations
- Prepare and update invitation list and guest list for workshops and meetings, send out invitations and receive confirmations. Provide logistical support for workshop and meetings
- Maintain petty cash
- Assist in procurement and finance as required
- Maintain the STF staff Leave Record for field office staff
- Keep records of publication materials
- Other work as assigned by the supervisor
Other Prerequisites
- Preferably Bachelor’s Degree in Business, Accounting or a related field
- Preferably two to five years of experience in office administration, logistics management, and event/meeting coordination
- Respectful; able to work well in a diverse team
- Strong organizational and coordination skills, and timely follow-up
- Careful, detail-oriented approach to work and ability to handle a demanding workload
- Proficient in all Microsoft Office programs (Word, Excel, PowerPoint, etc.)
- Fluency in English and Nepali
Minimum Qualifications
(0.5) year of experience and high school diploma OR the equivalent combination of education and experience.
