Documentation and Communication Manager

Documentation and Communication Manager is responsible for leading, coordinating and managing internal and external communications, documentation, branding and marking requirements, public relations, and event management of FHI 360 Nepal.

KEY RESPONSIBILITIES

  • Lead, coordinate and manage FHI 360 Nepal’s communication and documentation unit.
  • Respond to requests from FHI 360 country office (CO), Asia Pacific Regional Office (APRO), and Headquarters (HQ) and donors for information to internal audiences.
  • Coordinate with FHI 360 HQ to ensure FHI 360 Nepal’s publications are regularly posted in FHI 360’s website and accessible.
  • Provide materials and write ups to FHI 360 HQ, APRO and donors for newsletters and publicity as required.
  • Manage FHI 360 Nepal newsletter development and publication. Coordinate with and support to project’s communication focal persons for periodic newsletters.
  • Manage and coordinate to document and publish successes, good practices and lessons learned documents and share with APRO and HQs on regular basis.
  • Provide and/or coordinate and manage editorial support for FHI 360 and projects documentations and publications.
  • Assist staff in developing appropriate public information programs, presentations, speeches and other documentation.
  • Ensure targeted, coherent and consistent messages from all FHI 360 Nepal staff and partners.
  • Support to develop and maintain a repository of all documentations of FHI 360 Nepal and projects.
  • Monitor media, local communities and donors’ opinion relevant to FHI 360 Nepal and managed programs and projects and donors to gauge the effect of the information dissemination strategy and to provide feedback to inform adjustments to future information programming.
  • Keep FHI 360 Nepal staff and donors updated on press and media relations as well as key news updates.
  • Support to prepare and ensure a standard information package on FHI 360 Nepal and projects’ activities that can be shared with visitors and media as required (including success stories, photos, maps, newsletters and other documents as appropriate).
  • Act as contact person for all media-related queries/meetings for FHI 360 Nepal and coordinate as required under the guidance of Country Director.
  • Support Country Director and also be involved in building relations with stakeholders through individual meeting, public relations (PR) forums.
  • Develop and maintain an updated contact directory of key contacts from different sectors.
  • Initiate in the development of regular and new PR materials for FHI 360 Nepal.
  • Organize and coordinate all aspects of public events such as visits, launches, disseminations, press releases, notification of relevant officials, media and on-site coordination of media if needed.
  • Prepare site visit schedules, prepare briefing materials, scene setters, and coordinate meetings and briefings in consultation with appropriate staff members.
  • Maintain a calendar of key events in close collaboration with project team members and implementing partners.
  • Ensure effective implementation and adherence to FHI 360 and projects branding and marking plan (BMP).
  • Ensure proper and consistent use donors’ logos, and proper acknowledgement to donors for their contributions as per BMP, and adherence to FHI 360 and projects’ style guide.
  • Develop plan to promote presence of FHI 360 projects and donors at both national, provincial and local level to highlight the contributions made.
  • Perform other relevant duties as per the instruction of Country Director, Chief of Party, Project Director.

MINIMUM REQUIREMENTS

  • Master’s level degree with three years works experience or bachelor’s level degree with at five years work experience in a similar capacity in an NGO/INGO.
  • Desirable – a minimum of one year demonstrated successful experience in public relations, communications, documentations, event management or related field, is preferred.
  • Ability to initiate and implement activities with minimal supervision and manage high volume workflow with multiple tasks.
  • Ability to develop and maintain positive relationships among media representatives, local NGO partners and project staff.
  • Knowledge of donors’ particularly USAID and UK aid branding and marking requirements and production policies.
  • Ability to creatively craft information messages in various media formats targeting a variety of audiences.
  • Excellent verbal and written communication skills both in English and Nepali.
  • Strong team player, resourceful and ability to work with Nepalese and expatriates
