1. Background

Chaudhary Foundation is implementing disaster relief and recovery activities in flood affected districts following the recent flood disaster. The organization requires a capable and experienced Admin Cum Social Mobilizer to support field administration, community mobilization, local coordination, store management and local procurement, ensuring smooth day-to-day operation of the field office.

2. Key Responsibilities

Manage day-to-day administrative activities of the field office and support smooth project operations.

Mobilize and coordinate with affected communities, local representatives, ward offices and other local stakeholders.

Maintain regular communication and local liaison with communities, local authorities, supporters and service providers.

Support identification of community needs and facilitate communication between communities and the project team.

Maintain proper records of field office correspondence, attendance, meetings, logistics and administrative documents.

Manage the field store, including receiving, issuing, recording and monitoring project materials and supplies.

Maintain stock registers and ensure proper storage and accountability of materials and equipment.

Support local purchasing of materials, goods and services in accordance with organizational procedures.

Collect quotations, coordinate with local vendors, and support purchase documentation and comparative statements as required.

Monitor availability of essential materials and inform management of procurement or logistical requirements.

Support field staff with accommodation, transportation, meetings and other administrative/logistical arrangements.

Prepare regular administrative, procurement, store and social mobilization updates/reports.

3. Social Mobilization & Local Liaison

Build and maintain positive relationships with affected households and local communities.

Facilitate community meetings, consultations and awareness activities.

Coordinate with local government, ward representatives, community leaders and other relevant stakeholders.

Support transparent and inclusive implementation of relief and recovery activities.

Identify local concerns, grievances and operational issues and communicate them to the project team.

4. Required Qualification & Experience

Bachelor’s Degree in any discipline/stream.

Proven experience in a similar administrative, social mobilization, field coordination or humanitarian/disaster-response role.

Experience in disaster relief, recovery, community development or NGO/INGO projects will be highly preferred.

Experience in local procurement, store management and field administration will be an advantage.

Experience working with local communities and government stakeholders is preferred.

5. Required Skills & Competencies

Ability to work independently in a remote and challenging post-disaster environment.

Strong communication, coordination and interpersonal skills.

Good community mobilization and local liaison skills.

Good coministration, record-keeping and organizational abilities.

Basic to good knowledge of MS Word and Excel.

Ability to maintain accurate store, procurement and administrative records and documents.

Good negotiation and coordination skills for local purchasing and vendor management.

Honest, responsible, proactive and able to work under pressure.

6. Local Candidate Preference

Preference will be given to a qualified local candidate from nearby areas with good knowledge of the local community, geography, language, market conditions and local stakeholders. Local candidates with proven experience in disaster-response or community-based projects will be particularly encouraged to apply.

7. Reporting

The selected candidate will report to the designated Project/Program Coordinator and will coordinate closely with the Site Engineer/Field Team Leader and other field staff. The position will be responsible for ensuring smooth administration, community coordination, store management and local procurement at the field level
